We are currently seeking a bilingual (English/Spanish) individual to fill an immediate need for a front office Administrative Assistant in our North Tampa office. As the first interaction that most of our clients experience when calling or visiting our firm, this individual needs to be professional, courteous, and friendly by greeting them and making them feel comfortable. This position provides office support with daily reporting to firm stakeholders and additional related operational tasks throughout the business. For an individual to successfully embrace and thrive in this role, they must be very personable, detail-oriented, organized, technologically savvy, and able to prioritize and manage multiple tasks and responsibilities daily.

RESPONSIBILITIES:

  • Welcome all on-site visitors, for wealth management clients as well as insurance. Determine the nature of the business and announce visitors to the appropriate personnel.
  • Answer incoming telephone calls, determine the purpose of callers, and forward calls to appropriate personnel or department.
  • Order, receive, and maintain all office supplies for the business.
  • Receives, sorts, and routes all mail and publications.
  • Become familiar with insurance websites so as to run reports for our agency management software/Excel and distribute to stakeholders of these reports.
  • Help to maintain the integrity of our agency management software by assigning agents to insurance policies as well as directing clients to the appropriate personnel.
  • Perform various other duties as needed, such as scanning, sending emails, data entry, and making sure all information is distributed to the desired individuals.

QUALIFICATIONS:

  • High School diploma or GED required; Bachelor’s degree preferred.
  • Bilingual – English/Spanish
  • 1-2 years of experience greeting and/or interacting with customers/clients via telephone, email, and in person
  • Good written and communication skills
  • Excellent documentation and organizational skills
  • Ability to prioritize and switch between tasks frequently and at a moment’s notice
  • Highly comfortable with the use of computers and technology
  • Working knowledge of Microsoft Office; Proficiency with Excel a plus
  • Ability to work independently and think critically to solve problems and complete tasks efficiently
  • Insurance industry experience is a plus
